Terms and Conditions for V Assistant Ltd

1. About Us

2. Scope of Services
We provide services including, but not limited to, administrative support, bookkeeping, travel arrangements, email management, data entry, client communication, and scheduling. We do not provide legally regulated financial advice or services unless otherwise authorised.

3. Client Obligations
Clients agree to:

• Provide accurate, timely information required to complete assigned tasks.
• Supply all relevant access credentials, documentation, and direction.
• Communicate promptly through the agreed-upon channels (email or WhatsApp).

4. Service Delivery

• The format and delivery platform (email, cloud systems, or client-specific software) will be agreed upon individually with each client.
• Work may be completed by various members of the V Assistant Ltd team.

5. Fees and Payment

• Clients enter into a minimum 3-month retainer agreement.
• All services are invoiced in advance and payment is due on the 1st of each month, unless otherwise agreed in writing.
• No work will begin until payment is received.
• If a payment is missed, the service will be paused until full payment is made.
• Payment is required in advance by bank transfer unless otherwise arranged.

6. Right to Cancel (Consumers Only)
You may cancel a service or product order within 14 days of contract formation or receipt of goods. To exercise this right, notify us in writing at vassistantLtd@outlook.com. If services begin at your request before the cancellation period ends, you agree to pay for any work completed up to the point of cancellation. Goods must be returned in original condition within 14 days of cancellation. You are responsible for the return cost unless otherwise agreed.

7. Refund Policy
Refunds are not available for cancellations made after the 14-day cancellation period or for services already rendered. This includes mid-month or mid-service cancellations.

8. Revisions
Revisions or corrections to completed tasks are subject to mutual agreement and scope, discussed at the beginning of the service relationship.

9. Data Protection & Confidentiality

• We may process sensitive client data, including financial login credentials and bank details.
• Data will only be shared with third parties when required to perform client-authorised services or if legally obligated to do so.
• We use secure platforms, such as our own accounting software and Google Workspace tools, with the client’s prior agreement.

10. Limitation of Liability
To the maximum extent permitted by law, our liability to the client shall not exceed the total fees paid by the client for the service in question.

11. Force Majeure
We shall not be held liable for any failure or delay in delivering services resulting from events beyond our reasonable control, including illness, internet outages, natural disasters, or other unforeseen events.

12. Termination

• Following the 3-month minimum term, either party may terminate the agreement with a written 30-day notice.
• Immediate termination may occur if either party breaches any material term of the agreement.

13. Governing Law
These terms are governed by and construed in accordance with the laws of England and Wales. Disputes arising shall be subject to the exclusive jurisdiction of the courts of England and Wales.
